SUPERVISOR: Supervisor of Administrative Support Professionals 

  • Administrative Tasks: Handles office tasks such as filing, point of sale, receipting, sorting and distributing mail, follows policy and procedures, attends trainings / meetings, and reordering supplies.
  • Scheduling: Schedules appointments for clients, verifies insurance, and saves client information to appropriate file.
  • Reception/Communication: Greets clients, answers / transfers phone calls appropriately, and sends emails. Handles public concerns and complaints routing to appropriate department. Issues birth and death certificates, working with IDOH. Collect water samples submitted for pools, wells and lakes, processes paperwork accurately and deliver to LAB in timely manner.
  • Documentation/Correspondence: Uses computers for day to day operation, generate reports, and conduct research if needed. Uses software daily for medical records, birth and death certificates, point of sale and for IDOH mandated data systems such as DRIVE (vital records), CHIRP (immunization database), etc. Mails, scans, faxes, digitize and/or copies documents. Maintains HIPAA standards related to Privacy and Security.
  • Data Entry: Accurately enters data, maintains databases, and creates various reports.
  • Minimum Qualifications: High school diploma or GED. Public health experience preferred. One or more years of experience performing complex office/administrative duties in a medical or health-related office setting preferred. Ability to perform basic office functions and computer-related duties. Represent team by serving on committees within the health department. Attend trainings and meetings and become member(s) of organizations relevant to job.
  • Requirement: Member of IVRA (Indiana Vital Records Association).
  • Knowledge: Knowledge of the organization and function of state and local health agencies.
  • Skills: Exceptional communication skills, written and verbal. Proficient in the use of the Microsoft Office suite (including Word, Excel, PowerPoint, Outlook, and Access), databases, Electronic Health Records, handling of money, etc. Strong organizational skills with attention to detail and accuracy. Customer service skills with the ability to learn new information quickly. Problem-solving and time management skills.
  • Abilities: Demonstrated ability to organize and maintain records. Demonstrated ability to work independently to complete tasks. Demonstrated ability to coordinate with a team for joint projects. Demonstrated experience with managing multiple ongoing projects while successfully completing work assignments in a timely manner. Ability to use appropriate methods for interacting effectively and professionally with people of all backgrounds. Ability to switch between tasks when required. Ability to use computer, phone, fax machine. Able to work alone or within a group.
  • Physical Requirements: This is largely a sedentary role, with most of the duties performed on a computer and phone. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. Desk and workspaces are able to accommodate a wheelchair. Position is primarily a desk job and requires extensive computer use and ability to be mobile in small, confined spaces. The role may involve moving boxes and materials, including occasional lifting of up to 45 lbs. Some in-state travel may be required.
